How to prepare images for WhatsApp and email

May 21, 2026

WhatsApp and email have different ways of handling images and attachments. Before changing a file, decide how the recipient will use it, keep the original and check the current limits shown by the app or email provider.

WhatsApp: standard, HD or document

WhatsApp offers standard and HD quality choices for photos and videos, and lets you set HD as the default for media uploads. The connection can still affect what the recipient receives. Check the quality option when sending; do not assume every delivery has the same dimensions or appearance.

You can also attach a file as a document when the recipient needs the image file itself. This is useful when avoiding a media-specific workflow matters, but verify the received file for important work. A document attachment may use more data than a lower-quality media upload.

Email attachment limits depend on the account

The limit is not the same for every email service or account. Google currently lists 25 MB for personal Gmail accounts; work and school accounts may have limits set by an administrator. Microsoft currently documents 20 MB for internet email accounts such as Outlook.com and Gmail in Outlook, and a 10 MB default for Exchange accounts. The total message size can include the email itself as well as attachments. Check your current account and recipient requirements before reducing an image.

When a file exceeds the provider’s limit, use its supported cloud-link option if the recipient has permission to open it. A link shares access; it is not the same as attaching an offline copy.

A careful workflow

Keep an untouched copy of the original. Choose whether the image is for on-screen viewing, printing or editing later; there is no single pixel width that fits every use. Crop unneeded edges and resize a copy only when its display or print dimensions are known.

For photographs, JPEG or WebP may reduce file size, depending on the image and settings. PNG is often a useful starting point for screenshots with fine text or flat-color edges. Check whether the recipient’s app accepts the chosen format. Compare the output with the original before sending, and keep the original if it may be printed or edited again.

Screenshots and multiple images

Small text, spreadsheets and interface screenshots can become harder to read after lossy compression. Try a lossless format such as PNG or a supported lossless WebP option, then inspect the smallest text at its intended display size.

If you have several pictures, send them separately, use an album or shared folder, or create a PDF when the recipient needs one ordered document. A PDF is not automatically smaller, and the receiver may need an app to open it. Confirm page order, captions and legibility before sharing.

Frequently asked questions

HD media can use more data than standard quality. The network connection may also affect delivery, so check the received copy when detail matters.

Reducing an image to a particular width does not always damage it or preserve it; the result depends on its intended display or print size. Keep the original and check the copy at the size it will be used.

For many images, choose the delivery method the recipient requested. A PDF is useful when one ordered document is needed; an album, shared folder or separate image files may suit other cases.

Frequently asked questions

Does WhatsApp HD preserve every original detail?

WhatsApp offers HD quality, but its help center notes that the internet connection affects media quality. Check the received file if exact detail matters.

Is 1,200 pixels always enough?

No single width suits every screen, print size or later edit. Resize a copy for a known use and keep the original.

Should I put every photo into one PDF?

Only when the recipient needs one ordered document. Check that the PDF is legible and remember that conversion does not guarantee a smaller file.
