An upload can fail because a file is too large, uses an unsupported format or does not meet another portal rule. Find the requirements before preparing the document, then leave a size margin and check the copy you plan to submit.

Check the upload rules first

Read the notice, form or upload screen. There may be a per-file limit and a separate total limit, and the portal may require one PDF or separate files. Follow the specified file type and naming rules. If the published limit is 5 MB, for example, aim below it rather than at the exact boundary. Requirements vary by institution and can change, so do not rely on a general list of system limits.

A practical preparation workflow

  • Write down the allowed format, maximum size per file and any total-size limit.
  • Scan in grayscale only when color is not needed to understand stamps, seals or other details.
  • Use a resolution that keeps small text, signatures and marks readable; inspect a sample before scanning a large batch.
  • If one combined file is required, arrange the pages in the requested order and merge the PDFs.
  • Compress the PDF only as much as needed, then open the final file and inspect every page.
  • Submit before the deadline and save the receipt or confirmation.

What usually makes a scanned PDF large?

For scanned documents, page images often account for most of the file size. Compression may help without removing pages, but aggressive compression can blur signatures, stamps or small print. If the file is still too large, try grayscale when appropriate and then adjust image resolution gradually. Keep an unchanged copy of the source.

Do not remove required content

Do not cut pages or omit a document just to meet a size limit. An incomplete submission may be rejected even if the portal accepts the upload. If the instructions require separate attachments, split the documents accordingly instead of combining them into one file.

Review the file name and security settings

If a portal rejects a file that appears to be within the size limit, check the required format, file extension, name and whether the PDF is password-protected. Some systems cannot inspect or index a protected PDF. Use plain filenames when the portal warns about special characters, and never remove protection from a document unless you are authorized to do so.

Tools and guides to continue

Join PDFs only when the instructions ask for a single file, or compress a copy and inspect its readability. Compress a PDF (Portuguese).

Frequently asked questions

Can I upload a photo instead of a PDF?

Only if the portal accepts image files. If it asks for a PDF, convert the image to PDF first and check the result.

Can compression make a signature unreadable?

Yes. Strong compression can blur signatures, stamps and small text. Open the final file and check them at normal viewing size; use a lighter setting if needed.

Why was my file rejected even though it is under the stated limit?

The portal may also check format, filename, password protection or the combined size of all uploads. Review its current instructions or contact the receiving institution.
