Prepare documents for a university application
Note: General file-preparation guidance. Requirements vary by institution and application.
A complete application can still be delayed by an unreadable scan, a missing page or a file that does not meet the portal’s rules. Use this checklist to prepare the files, then follow the current instructions from the university or program.
Read the submission instructions first
Write down the accepted file formats, the size limit for each upload and whether documents should be separate or combined. Check whether the portal requests both sides, a specific page order, a signature or another form of certification. Requirements differ, so do not assume that PDF or a phone photo will always be accepted.
Prepare and inspect every file
- Capture or scan every page in even light; include the full page and keep text readable.
- Use a descriptive file name that follows any naming rule shown by the portal.
- Combine pages only when the instructions ask for one file, and keep them in the requested order.
- Open the final file and check page count, orientation, legibility and required signatures.
- If you reduce the file size, review the exported copy to make sure small text remains readable.
Submit and keep a record
Upload the files before the stated deadline and wait for the portal to show a completed submission. Save the confirmation number or receipt if one is provided. Keep a local copy of the submitted files and the confirmation until the application process is over. A screenshot can help you remember what the page displayed, but it does not replace an official receipt when the institution provides one.

Frequently asked questions
Can I submit a phone photo instead of a scan?
Only if the institution or portal accepts it. Check the current instructions, and make sure the entire page is sharp, evenly lit and free of glare.
Should I combine all documents into one PDF?
Follow the portal’s instructions. Some applications require separate uploads; others request one ordered file.
Does a successful upload mean my application is complete?
Not necessarily. Check the portal for a submission receipt or status and review whether it lists any missing items.
